A 60-foot boom lift may fit the height requirement, yet it can still be unsuitable if the access route has a low bridge. Attachments deserve the same attention as the main machine. A crane can be ready at 7 a.m., but the lift cannot start if the appointed person, slinger, or traffic marshal is assigned elsewhere. On smaller jobs, the same supervisor may cover several duties, which creates conflicts that are easy to miss. I check labour allocation at least 48 hours before any major delivery.

I Use Buffers Carefully Instead of Hiring Too Early

I do not solve uncertainty by bringing every machine to site several days early. That feels safe, but it shifts the schedule risk into rental cost, storage pressure, and possible damage. I usually build a one-day delivery buffer for common equipment and a three-day planning buffer for specialist lifting machines. Weather-sensitive work needs a different approach. I keep contingency equipment in the schedule as an option, not an automatic booking. This gives me a usable backup without creating duplicate hire commitments. A backup is valuable only when it can perform the same task under the same site restrictions.

I do not wait for the invoice to discover that a machine has been idle. Every Friday by 2 p.m., I review active rentals with the project team and compare planned hours against actual use. If a machine has recorded only six operating hours during a full week, I ask what stopped the work and whether the delay will continue. Sometimes the right choice is to off-hire it immediately and reorder later.

I also watch for equipment that could move between work areas. On a large refurbishment, one scissor lift finished ceiling work on level 3 while another crew needed the same platform in the loading area. The initial plan showed two separate rentals, but a 90-minute relocation allowed one unit to cover both tasks. I prefer that kind of controlled sharing when the travel route is clear and neither crew loses productive time.

Short extensions need close attention because they can quietly turn into long-term hire. I ask the supervisor to explain what remains, who will complete it, and how many shifts are genuinely required. If the answer is uncertain, I approve a two-day extension and schedule another review rather than accepting an open-ended continuation. This keeps the decision connected to visible progress.

I Plan the Return Before the Machine Arrives

The team needs to know where the machine will be cleaned, who will remove attachments, and how the collection vehicle will enter the site. I ask for four condition photographs before release, including the hour meter and fuel level. I also avoid setting the return date directly after the final planned activity. Crews often need several hours to clear materials, lower access platforms, or move the machine away from fresh work.
